How to Compare Invoicing Software Pricing for Freelancers

For a freelancer, the client cap matters more than the monthly rate: FreshBooks Lite stops at 5 billable clients, Invoice Ninja's free plan at 5, and Zoho Invoice at 500 invoices a year. The card processing fee is larger than any subscription here. Figures read October 23, 2026.

How to Compare Invoicing Software Pricing for Freelancers

Invoicing software is cheap and the money moving through it is not. Two of the four vendors here are free at the plan level, and all four charge a percentage when a client pays by card. The percentage is usually the bigger number.

Before any of that, a cap decides which plans are even eligible. This note reads four pricing pages on October 23, 2026, and prices a freelancer with a dozen clients.

The client cap disqualifies plans before the price does

FreshBooks counts billable clients: 5 on Lite, 50 on Plus and unlimited on Premium. A freelancer with twelve active clients cannot use Lite at any price.

Invoice Ninja's free plan allows 5 clients with unlimited invoicing, and its Ninja Pro plan removes the cap. The paid step is not about volume of invoices but about how many people you bill.

Zoho Invoice has no client cap on its page but caps the year instead: up to 500 invoices per year, a maximum of three projects and up to two users.

Wave's free Starter plan states unlimited estimates, invoices, bills and bookkeeping records, with no client or invoice ceiling printed. The word unlimited still needs reading, as it does in what unlimited calling really means in business phone plans.

Price twelve clients and one user for a year

Editorial calculation. One person, twelve billable clients, list prices as of October 23, 2026, no promotional discount applied, subscription only:

  • Zoho Invoice: $0, inside limits of two users, three projects and 500 invoices a year
  • Wave Starter: $0, no printed invoice or client cap
  • Invoice Ninja Ninja Pro: $140 billed annually, which the page describes as $11.67 a month
  • Invoice Ninja Enterprise: $18 a month billed monthly for 1 to 2 users, so $216 a year
  • Wave Pro: $190 USD a year billed annually, or $19 a month billed monthly
  • FreshBooks Plus: $43.00 USD a month at the regular rate, so $516 a year; Lite's 5-client cap rules it out

The gap between the free options and FreshBooks Plus is $516 a year. That is a real difference, and it is still smaller than what card processing takes on a modest freelance income.

Wave pricing (Starter $0 with unlimited estimates, invoices, bills and bookkeeping records, card 2.9% + $0.60 and Amex 3.4% + $0.60; Pro $19 USD/month billed monthly or $190 USD/year billed annually, promotional $9.50 USD/month for the first 3 months saving $28.50, card 2.9% + $0 and Amex 3.4% + $0 with a footnote marker whose text did not render; Wave Advisors from $149/month), captured October 25, 2026. The processing fee is bigger than the subscription

Editorial calculation on $60,000 invoiced across twelve invoices a year, using each page's published rates and ignoring taxes:

  • Wave Starter, card: 2.9 percent = $1,740 plus 12 x $0.60 = $7.20, total $1,747.20 on a $0 plan
  • Wave Pro, card: $190 subscription plus 2.9 percent = $1,740, total $1,930
  • FreshBooks Plus, card: $516 subscription plus 2.9 percent and 30 cents = $1,743.60, total $2,259.60
  • FreshBooks Plus, bank transfer: $516 subscription plus 1 percent = $600, total $1,116

Switching the same client from card to ACH on FreshBooks saves $1,143.60 a year by this arithmetic. No plan choice on this page moves that much money.

Wave Pro is the odd case. It removes the 60 cents per transaction, so at twelve invoices a year the subscription costs $182.80 more than it saves. It would need about 317 card transactions a year to break even on that line alone.

Rate structures that only pay off at volume show up across business software, as in how to read a help desk pricing page.

One footnote on Wave Pro did not render

Wave's Pro card prints 2.9 percent plus $0 per credit card transaction and 3.4 percent plus $0 per Amex transaction, each carrying a double-asterisk footnote marker.

The footnote text itself did not render on either of our reads on October 23, 2026, so the conditions attached to that $0 are unknown to us. We are not guessing at them.

Read that footnote in the browser before you count on the discount. A zero with an asterisk is a conditional zero, and the condition is the product.

Wave's free Starter plan lists 2.9 percent plus $0.60 per credit card transaction and 3.4 percent plus $0.60 on Amex, with no footnote marker.

Zoho Invoice pricing ($0, described as a forever-free invoicing solution; up to two users, a maximum of three projects, up to 500 invoices per year; invoices carry Powered by Zoho Invoice branding), captured October 25, 2026. Figures change; the live page is the source of truth.

Every paid plan here opens on a discount that expires

FreshBooks displayed 80 percent off for four months on October 23, 2026: Lite at $4.60 against $23.00, Plus at $8.60 against $43.00 and Premium at $14.00 against $70.00, all USD per month.

Four months at $8.60 and eight months at $43.00 is $378.40 in year one and $516.00 in year two, by editorial calculation. Budget the second figure.

Wave showed a promotional $9.50 USD a month for the first three months of Pro against $19 standard, saving $28.50. Invoice Ninja frames its annual billing as two months free.

Introductory rates that lapse need the same year-two treatment as the ones in how to compare cloud storage pricing for a small team.

A second person is a separate line on every page

FreshBooks lists team members at $11 a month per person on every plan, including Select. Two people on Plus at the regular rate is $43.00 plus $11.00, or $648 a year.

Invoice Ninja prices Enterprise by user band instead, starting at $18 a month for 1 to 2 users and running to $300 a month for 51 to 100 users.

The bands in between are 3 to 5, 6 to 10, 11 to 20, 21 to 30 and 31 to 50 users. Hiring one person can move you a whole band, not one seat.

Zoho Invoice stops at two users with no paid upgrade on that page. For a freelancer who adds a bookkeeper, that is a migration rather than an upgrade.

Part-time collaborators make per-seat maths awkward everywhere, as in what per-agent pricing means when agents are part-time.

FreshBooks also sells two other add-ons at fixed rates: Advanced Payments at $20 a month, and FreshBooks Payroll at $40 a month plus $6 a month per user.

Payroll bolted onto an invoicing tool is rarely the cheapest route. It is its own comparison, covered in how to compare payroll software pricing for a small team.

Branding is the quiet paywall on the free tiers

Zoho Invoice states that its invoices include Powered by Zoho Invoice branding, and offers no paid tier on that page to remove it.

Invoice Ninja's free plan includes 11 professional invoice templates, and its Ninja Pro plan is the step that removes the Created by Invoice Ninja line.

For a freelancer, that line is the whole argument for $140 a year. Paying to remove a vendor's name is a familiar upgrade trigger, as in how to compare e-signature pricing for a small team.

Bottom line

Start with the caps. Count your billable clients, your invoices a year and the number of people who need access, then remove every plan that cannot hold those three numbers.

Under 500 invoices a year with two users, Zoho Invoice at $0 is hard to beat on price. For unbranded invoices and unlimited clients, Invoice Ninja Ninja Pro at $140 a year is the cheapest paid option here.

Then spend the effort on payment methods rather than plans. Moving large invoices to bank transfer at 1 percent instead of 2.9 percent is worth more than any subscription on this page.

And reconcile the fees in your books, because processing charges are an expense the invoice total hides. We cover that side in how to compare small business accounting software pricing.

Frequently asked questions

Is Wave Pro worth $19 a month?
