How to Read a Help Desk Pricing Page

The big number on a help desk pricing page is the annual per-agent rate. The real bill adds AI resolutions, copilots, day passes and seat minimums. A six-step read of Freshdesk, Zendesk and Help Scout, with figures as of October 2026.

How to Read a Help Desk Pricing Page

A help desk pricing page shows one number per plan and hides four others. The visible number is almost always the annual-billing rate per agent. The hidden ones are the monthly rate, the AI charges billed per resolution, the add-ons the plan assumes, and the minimums and downgrade rules in the fine print. This note walks through the Freshdesk, Zendesk and Help Scout pricing pages in six steps, with every figure read from the vendor's own page on October 10, 2026. Zendesk's US page did not load from our location that day, so Zendesk figures come from its UK page in pounds and its help center. Everything here is a documentation read, not a test.

Find the billing toggle before you read any price

Every page in this note defaults to annual billing. Freshdesk shows a Save 20% toggle and lists Growth at $19, Pro at $55 and Enterprise at $89 per agent per month billed annually, with no monthly figures printed at all.

Zendesk's UK page prints both: Support Team £15 annual or £20 monthly; Suite Team £45 or £59; Suite Professional £89 or £115 per agent per month. Suite Enterprise is Talk to Sales. The page says 20% off annual, though not every pair matches that exactly.

Help Scout shows a -16% annual toggle and one price per plan: Standard $25, Plus $45, Pro $75 per user per month. Because only one figure is shown, confirm in the checkout which billing period it reflects before you compare it with the others.

The rule: write down the billing period next to every price you copy. A $19 annual rate and a £20 monthly rate are not the same kind of number, even before currency.

Count the seats, then check who does not need one

All three price per agent, but each has a no-seat role. Freshdesk includes 5,000 collaborators on paid plans. Zendesk includes up to 100 light agents on Suite Professional, add-on only on Suite Team. Help Scout allows 25 light users on Plus and 50 on Pro.

Freshdesk also sells day passes for occasional agents at $2 (Growth), $7 (Pro) and $12 (Enterprise) per agent per day. Help Scout caps full users per plan: 5 on Free, 25 on Standard, 50 on Plus, unlimited on Pro with a 10-user minimum.

So the seat count you pay for is the number of people who must reply publicly to customers. Everyone else may fit a collaborator, light agent or day pass. We work through those roles in what per-agent pricing means when agents are part-time.

Price the AI line as a separate bill

AI charges no longer sit inside the seat price. Zendesk bills AI agents per automated resolution: 5 included per agent per month on Team plans, 10 on Suite Professional, then £1.30 each committed or US$2.00 pay as you go, per the UK page.

Freshdesk gives 500 free AI Agent sessions once per account, then charges $49 per 100 sessions on every plan. Freddy AI Copilot is $29 per agent per month on Pro and Enterprise, and can be bought for only some agents.

Help Scout's AI Answers costs $0.75 per resolution, billed monthly, with a spending cap option and three months of free unlimited resolutions from account creation. The core plans do not include a resolution allowance.

Model this line from your ticket volume, not your headcount. A 5-agent team on Zendesk Suite Team has 25 included resolutions a month; the 26th automated resolution starts the meter.

Add the add-ons the plan quietly assumes

Each page has a second tier of charges that appear only when you scroll. Read them before you decide the plan is affordable.

  • Freshdesk: connector app tasks $80 per 5,000; MCP actions $15 per 1,000; day passes per agent per day as above
  • Zendesk (UK page): Copilot £40 per agent per month on Professional and up; Workforce Engagement Bundle £40; Contact Center £72; extra API volume requires 10 or more seats
  • Help Scout: extra inboxes $10 a month billed annually ($12 otherwise); extra Docs sites $20 ($24 otherwise); HIPAA, SSO/SAML and IP restrictions priced on request
  • All three: AI copilot features sit on the higher plans only, so a Growth or Team plan plus copilot often means a plan change, not an add-on

Help Scout's plan limits also behave like add-on triggers: Standard includes 2 inboxes, Plus 5, Pro 10. A team with a sales inbox, a support inbox and a billing inbox is already past Standard's included count.

Check the minimums, trials and downgrade rules

Freshdesk offers a 14-day trial on the Enterprise plan and suspends the account if no paid plan is chosen. Upgrades take effect instantly; downgrades and cancellations take effect at the end of the term. There are no cancellation fees, per the page.

Zendesk's UK page offers a 14-day trial defaulting to Suite Professional with Copilot included. Plan changes apply immediately or at renewal depending on subscription terms. Pricing is seat-based, with monthly, annual or multi-year subscriptions.

Help Scout's Standard and Plus plans have a 15-day trial with no card. Pro is not self-serve and carries a 10-user minimum. The Free plan allows 5 users, 1 inbox, 1 Docs site and 100 contacts a month, with no payment method required.

The downgrade clause is the one that costs money. On annual billing at Freshdesk, a team that drops from Pro to Growth in month three keeps paying Pro until month twelve. Pick the lower plan first and upgrade when the limits bite.

Work the total for a five-agent team

Editorial calculation, annual billing, no AI overage, no add-ons. Freshdesk Growth: 5 x $19 x 12 = $1,140 a year. Help Scout Standard at the $25 shown: 5 x $25 x 12 = $1,500. Zendesk Suite Team, UK page: 5 x £45 x 12 = £2,700.

Now add one realistic AI line. Freshdesk with 500 paid sessions a month: 5 x $49 x 12 = $2,940 more, which exceeds the seats. Help Scout with 200 AI resolutions a month after the free quarter: 200 x $0.75 x 9 = $1,350 more.

Zendesk with Copilot for all five on Professional: 5 x (£89 + £40) x 12 = £7,740. The seat price roughly doubled from Team, and the copilot added 45% on top of that.

These totals are not a ranking. They show that the AI line and the plan tier move the bill more than the per-agent rate does. The same pattern appears in business phone plans, where the headline rate hides fair-use and registration fees; see what unlimited calling really means.

Bottom line

Read the billing toggle first, count only the agents who reply publicly, price AI by ticket volume, scroll for add-ons, and read the downgrade clause before choosing annual. Then build a 12-month total, not a per-agent figure.

As of October 2026, Freshdesk Growth is the lowest listed seat price of the three, Help Scout is the only one with a free plan for five users, and Zendesk's Suite Professional is the only one of the three listing light agents in the hundreds without an add-on.

Frequently asked questions

Which help desk is cheapest for a small team in 2026?

On listed annual seat prices checked October 10, 2026, Freshdesk Growth at $19 per agent per month is the lowest of the three. Help Scout's Free plan covers 5 users and 1 inbox at no cost. Zendesk's lowest listed rate is Support Team at £15 on its UK page. AI usage can outweigh all of these.

Do help desk prices include AI features?

Only a small allowance. Zendesk includes 5 to 10 automated resolutions per agent per month, then charges per resolution. Freshdesk includes 500 AI Agent sessions once, then $49 per 100. Help Scout charges $0.75 per AI resolution after a free first three months, as of October 2026.

Can I downgrade a help desk plan mid-year?

Freshdesk applies downgrades at the end of the term, so an annual plan stays at the higher price until renewal. Zendesk says changes apply immediately or at renewal depending on terms. Start on the lower plan and upgrade instantly if you are unsure.
