How to Compare CRM Pricing for a Small Sales Team
The per-seat figure on a CRM pricing page ranks the vendors wrongly. Convert every plan into one twelve-month number first: seat rate times five times twelve, plus one-time onboarding, plus the AI meter. Figures read from each vendor's own page on October 10, 2026.
This article is a documentation review: it is based on the vendors' own published pages, checked on the date shown. We may earn a commission from some links; it never affects what we recommend.
To compare CRM pricing for a five-person sales team, turn every plan into one twelve-month number: seat rate times five times twelve, plus any one-time onboarding fee, plus the AI usage you expect. The per-seat figure on its own ranks the vendors wrongly. HubSpot's Sales Hub Professional lists $90 per seat per month billed annually, but the same page also requires a one-time $1,500 onboarding fee, checked October 10, 2026. This note works through the rate, the billing toggle, the seat count, the onboarding line and the AI meter, using figures read from each vendor's own pricing page on that date.
Start with the seat rate, then find the billing toggle
Every page here shows two numbers per plan and defaults to the lower one. HubSpot Sales Hub Starter lists $7 per seat per month when you pay annually and $20 per seat per month when you pay monthly, per its pricing page on October 10, 2026.
The same page lists Professional at $90 per seat per month on annual commitment and $100 per seat per month paid monthly. Enterprise lists $150 per seat per month behind a Talk to Sales button.
Salesforce prints one figure per edition: Free Suite at $0, Starter Suite at $25 per user per month billed monthly or annually, Pro Suite at $100 billed annually, then Core at $195, Advanced at $395 and Max at $550.
Freshsales prints annual rates only. Growth is $9, Pro $39 and Enterprise $59 per user per month billed annually. The page carries a Save 20% Annually toggle but does not print the matching monthly rates beside it.
The gap between billing periods is wider than most buyers expect. HubSpot Starter paid monthly is almost three times the annual rate. The same toggle trick runs through support tools, as set out in how to read a help desk pricing page.
Count the seats you actually have to buy
A five-person sales team rarely needs five paid CRM seats on day one. HubSpot's free tier covers up to two users with no credit card required, per the pricing page. Salesforce lists a Free Suite at $0 per user per month.
Freshsales refers to a free plan in its page description, but the plan's limits were not printed on the pricing page we read on October 10, 2026. Treat an unlisted free tier as unknown rather than generous.
- Count only the people who will own records and send email from inside the CRM
- Check whether read-only or reporting access needs a paid seat on the plan you are pricing
- Test the free tier cap against your real org chart - two users does not cover a founder plus two reps
- Confirm you can add seats mid-term, and at what rate those extra seats are billed
Seat counting is the same exercise as in support tools, where collaborators and light agents sit outside the paid seat count. The method is set out in what per-agent pricing means when agents are part-time.

Check whether your tier carries a one-time onboarding fee
This is the line that breaks five-seat budgets. HubSpot's Sales Hub page states that the cost shown does not include the required, one-time Professional Onboarding for a fee of $1,500, nor the required Enterprise Onboarding for $3,500.
On a five-seat Professional subscription that $1,500 fee adds about 28% to the first-year bill, by our calculation from the listed rates. It is described as required, and it is not spread across the term.
Salesforce books the same kind of cost differently. Its Success Plans page lists Standard as included in all licenses, Premier at 30% of net license fees, and Signature as contact your account executive, checked October 10, 2026.
A percentage of license fees scales with your seat count; a flat onboarding fee does not. We unpack both shapes in what onboarding and implementation fees cover.
Price the AI line separately from the seats
AI capacity is metered now, so it belongs in its own row of your sheet. HubSpot includes HubSpot Credits with each tier: 500 on Starter, 3,000 on Professional and 5,000 on Enterprise, per the pricing page.
Freshsales sells its Freddy AI Agent at $49 per 100 sessions and includes 500 sessions with all paid plans to try chatbots. Branded documents cost a further $19 per user per month on top of the seat.
Neither page converts credits or sessions into a monthly dollar figure, because that depends on your own volume. Estimate it from your current email and chat counts, not from headcount.
A small included allowance followed by a per-unit meter is now the standard shape across the category. See what AI add-ons cost in small business tools.

Work the twelve-month total for five seats
Editorial calculation from the listed annual rates: five seats, twelve months, no AI overage, no add-ons. Figures checked October 10, 2026.
- HubSpot Sales Hub Starter: 5 x $7 x 12 = $420 a year
- Freshsales Growth: 5 x $9 x 12 = $540 a year
- Salesforce Starter Suite: 5 x $25 x 12 = $1,500 a year
- Freshsales Pro: 5 x $39 x 12 = $2,340 a year
- HubSpot Sales Hub Professional: 5 x $90 x 12 = $5,400 plus the $1,500 onboarding fee = $6,900 in year one
- Salesforce Pro Suite: 5 x $100 x 12 = $6,000 a year
The ranking changes once the onboarding fee lands. HubSpot Professional is cheaper than Salesforce Pro Suite on seats alone, and more expensive in the first year after the required onboarding fee is added.
Run the same arithmetic for monthly billing before you commit to a year. HubSpot Starter at $20 per seat paid monthly comes to $1,200 a year for five seats, against $420 on annual billing.
Watch for prices that change with your location
Two of the pages we tried would not give dollar figures at all. Zoho's CRM pricing page served Indian rupee prices from our location on October 10, 2026, so we left Zoho out of the totals above rather than convert a localised rate.
Pipedrive's pricing page returned an HTTP 403 block to both a direct fetch and a headless browser on the same date, so it is absent from this note entirely. A gap we can describe is better than a figure we did not read.
If a vendor shows your local currency, check whether the dollar price is converted or genuinely different. Taxes are often added on top, in small print beneath the table.
Bottom line
Build one sheet with five columns: seat rate, billing period, seats you must buy, one-time fees, and expected AI usage. Multiply, then add. Compare only the twelve-month totals.
As of October 2026, the cheapest listed five-seat path among the pages we could read is HubSpot Sales Hub Starter at $420 a year or Freshsales Growth at $540. The expensive decision is not the seat rate. It is the tier that carries a required onboarding fee.
Before you sign an annual term, check what you can take out again if it does not work; see what data export limits mean when you leave a tool. The same method applies to the rest of the stack in how to compare small business accounting software pricing and how to compare password manager pricing for a small team.
Frequently asked questions
How much does a CRM cost for five people?
On listed annual rates checked October 10, 2026, five seats cost $420 a year on HubSpot Sales Hub Starter, $540 on Freshsales Growth, $1,500 on Salesforce Starter Suite and $5,400 on HubSpot Sales Hub Professional before its required $1,500 onboarding fee.
Is a free CRM enough for a small sales team?
It depends on the user cap. HubSpot's free tier covers up to two users and Salesforce lists a Free Suite at $0 per user per month. A three-person team already passes HubSpot's free cap, which is where paid seats begin.
Why is monthly CRM billing so much more expensive?
Because the headline figure is usually the annual rate. HubSpot Sales Hub Starter is $7 per seat per month billed annually and $20 billed monthly, a difference of $780 a year across five seats by our calculation from the listed rates.
Does CRM pricing include AI features?
Only an allowance. HubSpot includes 500 credits on Starter, 3,000 on Professional and 5,000 on Enterprise. Freshsales includes 500 Freddy AI Agent sessions with paid plans, then charges $49 per 100 sessions, as of October 2026.
Which CRM pricing pages could you not read?
Pipedrive returned an HTTP 403 block to both a direct fetch and a headless browser on October 10, 2026. Zoho CRM served Indian rupee prices from our location. Neither vendor appears in the dollar totals in this note.
Should a five-person team pay for Salesforce Pro Suite?
Only if the cheaper editions miss something you need. Pro Suite is $100 per user per month billed annually, which is $6,000 a year for five users, roughly fourteen times the listed cost of HubSpot Sales Hub Starter at the same seat count.
